Imtek’s New Mover Mail Program is a fully-managed external marketing service that targets new homebuyers within your practice area to generate new patients. 
 
We use targeted direct mail to send your custom message to consumers that have purchased a home within your practice area inviting them to join your practice. As a fully-managed weekly service, we do all the work so you can focus on serving your patients needs:
  1. We design your custom mailer - We work with you to design a unique mailer that reflects your practice’s style and message. You can choose from one of our many proven template designs or we will design something completely custom for you. Our formats include both postcards and refrigerator magnet self mailers.
  1. We identify your practice area - Your practice area can be a zip code, several zip codes or a 5 mile radius around your office. If you have multiple locations, we can identify the nearest for each new patient. We work with you to map out this important practice characteristic.
  1. We print and mail every week - Every week we gather the names and addresses of anyone that purchased a home or condo within your defined practice area. We then print and mail your custom message to them using the US postal service. Your message is typically in their hands within 2 weeks of closing on their new home. If there is only 1 new homebuyer that week, we will print and mail that 1.
  1. You get new patients - It’s that simple, you get new patients. These households will go somewhere for their dental services needs; you want them to call you first. We help make that happen.

Why New Homebuyers

We specifically target new homebuyers rather than “new movers”. By doing so, we eliminate “renters” and reach those most likely to be newest to your practice area and most likely to be good-paying long-term patients.

  • GPSMail Personalized Maps & Driving Directions (Only from Imtek):  Every mailer we send out is 100% personalized to the recipient and includes their personal map-route and door-to-door driving directions; directly from their new home to your office, turn-by-turn.  This patent pending GPSmail technology is only available through Imtek Direct Marketing. You’ll see, we're practically driving them to your office for you.
  • No Long-Term Commitment: Our program is designed without a long-term commitment.  As with any marketing program, we recommend a 6 month trial period to allow enough time for the service to fully reach its potential and provide ample opportunity for a comprehensive evaluation.  After this period, our program runs on a month-to-month basis. 
  • Pay per Piece Mailed:  With our program, you only pay for the quantity of pieces that are actually mailed; there is no fixed monthly charge. When you begin the program, we will provide you with an average number of new homebuyers per month within your practice area for budgeting purposes. In some months there will be more than this and in others there will be less. We print and mail weekly and bill monthly for the actual number that went out. For example, say there are 150 new homebuyers on average within your practice area each month when you sign up for the program. Then in your first month, there were just 115; you will only be billed for 115. You pay per piece we send out.

Options

Program options include the format of the mailer as well as the frequency of mailers sent to each new homebuyer. As you might expect, we generate our best results for clients that mail 2 or 3 times to each new homebuyer within their practice area.
 
Mailer Formats:
The following mailer formats are available:
  • Magnet Self Mailer: Our most popular format with 9 out of 10 practices choosing it. This glossy finish piece is 8.5x11 inches flat with a refrigerator magnet embedded toward the bottom. The piece is folded in half 1 time and glued closed so it mails at a size of 6x9 inches. We recommend a business-card design on the magnet itself so the recipient always has your information at the ready when they place it on the refrigerator. Because we mail every week, we like to say that with this format you will be “First in the Home and First on the Fridge!”
 
  • Jumbo Postcard: Our next most popular format, at 5.5x11.5 inches this very large postcard stands out in the mail due to its length. The large size allows ample room for your welcome offer, practice photos and the personalized maps & directions.
 
  • Large Postcard:  A 5.5x8.5 inch oversized postcard that gets your message out.  Selected by some budget conscious clients, but primarily used for 2nd or 3rd follow up mailings in a multi-step program.
  
Mailing Frequency:
We generate our best results for clients that mail 2 or 3 times to each new homebuyer within their practice area. Consider the myriad of things that a new homebuyer deals with when purchasing a new home; from furniture, to unpacking, from finding the grocery store to finding the school, they are very busy those first few months. By presenting your welcome offer 2 – 3 times during this period, you can dramatically improve the response to your offer. The following standard mailing frequencies are available:
 
  • 3 – Step Program: Mail 3 times per new homebuyer.  We have found this to be our most effective approach. Most dental clients will start with a Magnet Self Mailer then follow up a month later with a Jumbo Postcard then again in month 3 with a Large Postcard. A new homebuyer may place the refrigerator magnet on their fridge in the first month, and then they are reminded again with your follow up mailings in months 2 and 3 to give you a call. With this approach, you will get calls both from those who respond quickly to that first mailer as well as those that need more time and will call you 2-4 months after receiving the first mailer. This approach builds your new patient pipeline quite effectively.
 
  • 2 – Step Program: Mail 2 times per new homebuyer.  The same principle applies with this approach, but it is slightly less expensive than the 3-step. Again, most dental practices will start with a Magnet Mailer then follow up with either a Jumbo or Large Postcard in month 2. 
 
  • 1 – Step Program: Mail 1 time per new homebuyer.  While not recommended, we do offer a one-time mailing per new homebuyer.  If you choose this option, we highly recommend the Magnet Self-Mailer as it has the longest “shelf-life” because potential new patients will place your business card magnet on their fridge for reference later.

What's It Cost

Our pricing is simple; you pay per piece we mail for you.
 
This may well be the most cost-effective external marketing program you will ever use. For most of our clients, one new patient per month more than pays for the program.

Pay per Piece Mailed: With our program, you only pay for the quantity of pieces that are actually mailed and there is no fixed monthly charge. When you begin the program, we ask for 2 things: a nominal deposit to cover the cost of your first two months of mailers and a commitment that you will use the program for 6 months. After 6 months, the service is offered on a month-to-month basis and you can cancel at anytime. The price you pay per piece is a function of the type of mailer format you select.
